By using VenueMax, you acknowledge the practices described in this Privacy Policy.

3Guest Information and Event Organizers

VenueMax provides tools for venues and couples to manage wedding and event communications.

When a venue or couple enters guest information into VenueMax, that venue or couple is responsible for ensuring they have appropriate permission and legal authority to provide and use that information.

VenueMax processes guest information on behalf of authorized users to provide the Service.

VenueMax does not independently control the relationship between event organizers and their guests.

Guest information is kept only for a limited time after the event and is then anonymized, as described in Data Retention below. Copies that a venue or couple downloads, or that are emailed to a venue at its request, are held by that venue or couple under their own policies, not by VenueMax.

If you receive a message related to an event, your questions regarding the event or your participation should generally be directed to the venue, couple, or event organizer.

4SMS/Text Messaging Privacy

VenueMax may provide SMS messaging features through third-party telecommunications providers.

SMS communications may include:

  • RSVP reminders;
  • wedding or event updates;
  • schedule changes;
  • important event announcements;
  • other event-related notifications.

Phone numbers collected through VenueMax are used only for purposes related to the requested event communications and account services.

We do not sell phone numbers or use guest phone numbers for unrelated marketing purposes.

Recipients may opt out of SMS communications at any time by replying: STOP

Recipients may request assistance by replying: HELP

Message and data rates may apply.

SMS messages may be processed by third-party messaging providers required to deliver communications.

  • service-related communications.

Where required, recipients may unsubscribe from non-essential email communications.

Transactional and service-related communications may continue when necessary to provide the Service.

6How We Share Information

VenueMax may share information in limited circumstances, including:

We may share information with trusted third-party providers that help us operate VenueMax, including:

  • cloud hosting providers;
  • email delivery providers;
  • SMS messaging providers;

If VenueMax is involved in a merger, acquisition, financing, or sale of all or part of its business or assets, information may be transferred as part of that transaction. Any information transferred remains subject to this Privacy Policy, including the guest information limits described in it.

Legal Requirements

We may disclose information when required to:

  • comply with applicable law;
  • respond to legal requests;
  • protect our rights;
  • prevent fraud or abuse;
  • protect users or public safety.

7Social Media and Third-Party Integrations

VenueMax may offer integrations with third-party platforms, including social media platforms and other services.

When you connect a third-party service, information may be shared according to your instructions and the policies of that third party.

VenueMax does not control how third-party platforms use information.

8Cookies and Tracking Technologies

VenueMax may use cookies and similar technologies to:

  • maintain account sessions;
  • remember preferences;
  • analyze usage;
  • improve performance;
  • enhance security.

You may control cookies through your browser settings, although disabling cookies may affect certain features.

9Data Security

VenueMax uses reasonable administrative, technical, and organizational safeguards designed to protect personal information.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10Data Retention

VenueMax keeps information only for as long as reasonably necessary to provide the Service, maintain records, comply with legal obligations, resolve disputes, and enforce agreements. In particular:

Guest Information

Guest names, email addresses, phone numbers, mailing addresses, RSVP notes, and similar details that identify a guest are anonymized 90 days after the event date. If a venue deletes an event, it can restore the event for 30 days; after that, the event’s guest information is anonymized.

Right before guest information is anonymized, a copy of the event’s guest records is emailed to the couple, and to the venue unless the venue has turned this off. Venues and couples can also download the guest list at any time before then. Once delivered, those copies are held by the venue or couple, not by VenueMax.

After anonymization, VenueMax keeps only information that does not identify a guest, such as guest and RSVP counts, attendance and meal totals, response timing, and general location (city or state). VenueMax may use this de-identified and aggregated information to operate, analyze, and improve the Service, and does not attempt to re-identify it.

Account, Event, and Contract Information

Information about venues, couples, and other account holders, including event details, is kept while the account is active and as needed afterward for the purposes above. Signed contracts and their audit records are kept as legal records.

Messaging Records

Records of text message consent, delivery, and opt-out requests may be kept for as long as needed to comply with messaging laws. Opt-out requests are kept so that we continue to honor them.

Backups

Information that has been anonymized or deleted may remain in secure backups for a limited period until those backups are replaced in the normal course of operations.

Users may request deletion of information subject to applicable legal and operational requirements.

11Your Privacy Rights

Depending on your location, you may have rights regarding your personal information, including:

  • requesting access to personal information;
  • requesting correction of inaccurate information;
  • requesting deletion of information;
  • requesting information about how data is used.

To make a privacy request, contact us using the information below.

12Children’s Privacy

VenueMax is not intended for children under the age of 13.

We do not knowingly collect personal information from children under 13.

13International Users

VenueMax operates primarily in the United States.

If you access VenueMax from outside the United States, you understand that information may be processed and stored in the United States or other locations where our service providers operate.

14No Sale of Personal Information

VenueMax does not sell personal information.

We do not sell guest contact information, phone numbers, email addresses, or event information to advertisers or third parties.

15Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When changes are made, we will update the “Last Updated” date above and may provide additional notice when appropriate.

Your continued use of VenueMax after changes become effective means you accept the updated Privacy Policy.
